The winners of DEVX Sammelan 2025 will be determined through a comprehensive and structured evaluation process: Judging Timeline & Evaluation: Submissions will be evaluated based on technical accuracy, innovation, scalability, user experience, and adherence to the problem requirements. Each project is expected to detail any challenges faced, novel approaches adopted, and potential avenues for future improvement or commercialization. Deadline & Review Process: All projects must be submitted by the hackathon's closing date on 20 April 2025. The review and judging process will follow the timeline provided on the Discord Server. Please note that late submissions may incur penalties unless an extension is granted in advance. Announcement & Presentation: The winners will be publicly announced during a closing ceremony after the evaluation process is complete. Details regarding the specific date and time of the announcement, as well as the format of the presentation, will be shared and communicated through official channels. Collaboration and Integrity: All submissions must be original work, with proper attribution given to any third-party resources or libraries used. The judging panel will ensure that collaboration and integrity are maintained throughout the event. We encourage all participants to review the detailed timeline and guidelines available on our Discord Server as well as WhatsApp Group to ensure they are fully informed of the process.

All projects submitted to DEVX Sammelan 2025 must be built from scratch and represent the original work of the participating teams. Pre-existing projects or recycled ideas will not be entertained. While participants are welcome to leverage open-source code and utilize AI tools for inspiration or specific functionalities, the core solution must demonstrate significant personal effort and originality. Complete reliance on AI-generated work is not acceptable. Plagiarism in any form is strictly prohibited, and all submissions will be rigorously reviewed to ensure compliance with these standards.

All participating teams are required to adhere to the rules and protocols established by the organizers and those communicated through the official WhatsApp community for Team Leaders. We request that team leaders and individual participants carefully review all provided guidelines and maintain a professional decorum throughout DEVX Sammelan 2025. The use of harsh or demeaning language is strictly prohibited across all platforms, including the Discord server and WhatsApp groups. Participants are expected to maintain a respectful tone when addressing issues or interacting with fellow participants and organizers. Violations may result in disciplinary action. Our dedicated team is working tirelessly to support all participants. We ask for your patience and cooperation as we address any concerns or problems that may arise. All participants are expected to uphold fairness and transparency in their communications and interactions during the event. Participants are permitted—and encouraged—to utilize third-party APIs, datasets, libraries, and other technical resources in their solutions. However, it is the sole responsibility of each team to ensure that all third-party assets comply with relevant copyright laws and licensing agreements. All resources used must be fully functional, legally permissible for use, and free from limitations such as trial periods or restrictive licenses that could affect integration or scalability. Participants must verify that these resources are stable, do not hinder the performance of their solution, and are suitable for continued use beyond the scope of the hackathon. During evaluation, if any third-party component is found to cause errors, inhibit functionality, or otherwise disrupt the seamless operation of the submitted project, it may result in disqualification. We strongly advise all teams to thoroughly test their solutions to ensure compatibility and reliability of any external resources used.

All teams and individual participants will receive timely assistance for any issues encountered during the hackathon. To ensure smooth communication, participants are required to join our official Discord server, which will serve as the primary platform for announcements, queries, and general discussions throughout the event. In the event of unforeseen or unresolved issues, participants are encouraged to directly reach out to our mentors or organizing team for proper guidance and resolution. Additionally, team leaders will be provided access to an exclusive WhatsApp group where they can escalate critical concerns directly. Team members can continue to communicate and seek support through the Discord server. Participants are expected to maintain their original team compositions throughout the duration of DEVX Sammelan 2025. In exceptional cases, where a team member change becomes necessary, a formal request must be submitted to the organizing committee with a valid and verifiable reason. All requested details must be provided as per the organizers’ instructions. Please note: Only one team member change will be permitted per team. The decision of the organizers in such matters will be final and binding. Similarly, participants wishing to switch teams must notify the organizers in advance and must arrange a suitable replacement for the team they are exiting. This is to ensure continuity and smooth execution of the event without disruption to team dynamics or evaluation procedures.

Participants are welcome to register for DEVX Sammelan 2025 individually. For those seeking teammates, we offer support in facilitating team formation. Upon request, we will reach out to other registered participants to check for interest in forming a team. Please note that while we will make every effort to assist, team formation is not guaranteed and is subject to participant availability and interest. To improve the likelihood of finding a suitable teammate, individuals are encouraged to inform the organizers or mentors as early as possible.

Participants are encouraged to use the link provided in the description of DEVX Sammelan's Dashboard. Participants can also register through commudle by simply filling out the registration form attached to our dashboard. (Registrations through provided links would be preferred.)

Participants are allowed to participate individually as well as in team participations. (Teams can contain a maximum of 3 members.)
